Oklahoma City Indian Clinic (OKCIC) is a non profit corporation that provides culturally sensitive health care to the American Indian population. OKCIC services not only include basic medical care, but also dental, optometry, behavioral health services, fitness, nutrition and other family programs. The Oklahoma City Indian Clinic (OKCIC) is seeking a detail-oriented and customer-focused Administrative Assistant to support our Physical Therapy and Chiropractic Services department. This role plays a vital part in ensuring smooth daily operations by coordinating patient scheduling, managing front-desk responsibilities, and maintaining accurate records. The ideal candidate will have excellent organizational skills, strong communication abilities, and a commitment to providing exceptional service to our Native American community.

Requirements

  • Due to the safety-sensitive nature of this position, medical marijuana license holders who test positive for marijuana will not be qualified for this position.

  • High school diploma or GED
  • Minimum of one (1) year of medical office–related experience required.
  • Proficient computer skills required.
  • Strong communication skills, with the ability to communicate effectively both verbally and in writing.
  • Excellent listening, coaching, and patient service skills; must be organized and detail-oriented.
  • Ability to multitask in a fast-paced, high-energy environment while delivering exceptional customer service.
  • CPR required (must be obtained within 6 months of hire)

Responsibilities

  • Greets patients and visitors, courteously and respectfully.
  • Performs clerical duties including typing memos, letters, reports, checking departmental mail, distributing and obtaining health information records, faxes and making copies of documents.
  • Scans into medical records pertinent documents in a timely fashion.
  • Obtains registration information, including demographics and third party coverage information.
  • Explains billing and payment processes to patient and family members.
  • Maintains all therapist schedules: Schedules and reschedules patient appointments as needed.
  • Coordinates with therapists on a routine basis to ensure accurate scheduling.
  • Utilizes digital patient engagement systems (e.g. Relatient Portal) to verify appointment reminders and send secure digital messages to patients.
  • Responsible for providing accurate and professional information to patients and individuals interacting with the organization via in-person, telephone, e-mail, or other forms of communication.
  • Answers patient phone calls, and returns calls in a courteous and timely manner.
  • Communicates effectively and concisely with providers, staff, patients and their family members, and the general public.
  • Maintains confidentiality of patients’ data and information.
  • Manages physical therapy consults in RPMS/EHR, including obtaining reports, updating status of consults, and reviewing consult information to determine scheduling urgency (e.g. stat/urgent or routine/non-urgent).
  • Manages the physical therapy schedules, i.e. scheduling appointments and updating/monitoring the patient waitlist.
  • Assists Physical Therapy staff with cleaning of Physical Therapy areas.
  • Offers coverage to the chiropractic staff as needed. This includes duties such as scheduling and checking patients in or out. It may also involve escorting patients to a treatment room and notifying the chiropractor of the patient's arrival.
  • Performs vitals and basic health screenings as needed.
