The Administrative Assistant provides high-level administrative support to the C-Suite and serves as a trusted liaison to the Foundation Board. This role requires discretion, professionalism, and excellent organizational skills to ensure smooth operations across leadership functions. Duties of this position include but are not limited to:

  • Manage and coordinate complex calendars for C-Suite executives, including scheduling meetings, appointments, and travel arrangements.
  • Handle sensitive financial responsibilities, including entrusted funds, and bank deposits, with the highest level of confidentiality.
  • Answer and direct phone calls, emails, and other correspondence on behalf of executives.
  • Prepare, edit, and format documents, reports, and presentations.
  • Maintain both physical and digital filing systems to ensure organization and accessibility.
  • Order and manage office supplies and inventory.
  • Assist in the preparation of regularly scheduled reports and special projects.
  • Support the leadership team with administrative tasks and project coordination.
  • Uphold discretion and confidentiality in all matters involving executives and the organization.
  • Welcome and assist visitors, and manage front desk responsibilities as needed.
  • Monitor and ensure organizational compliance with all applicable county, state, and federal laws, including licensing and reporting requirements.
  • Develop, update, and enforce internal policies and procedures that align with legal and ethical standards.
  • Serve as the primary point of contact for compliance-related inquiries from regulators, partners, and auditors.
  • Ensure the Board of Directors operates in accordance with governance best practices and Florida Sunshine Laws (or applicable state open government/sunshine statues).
  • Prepare and maintain accurate records of board meetings, agendas, and minutes.
  • Oversee grant compliance, including application submissions, reporting, and adherence to funding requirements.
  • Track grant deadlines, deliverables, and expenditures to ensure alignment with funder guidelines.
  • Maintain accurate and organized grant files for audit reporting purposes.
  • All employees must be fingerprinted and pass a background screening process by the Clearinghouse.
  • High school diploma or equivalent; associate or bachelor’s degree preferred
  • Proven experience as an administrative assistant or office admin assistant
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Ability to multitask and prioritize daily workload
