About The Position

The Administrative Assistant position reports to the Branch Office Manager. This role performs routine clerical, invoicing, and administrative duties in an office environment. Light accounting and record-keeping responsibilities are also required.

Requirements

  • High level of accuracy and attention to detail.
  • Professional and pleasant communication with team members and the public.
  • Ability to manage multiple deadlines.
  • Proficient in Outlook, Excel, and Word; able to quickly learn internal accounting systems.
  • Strong problem-solving skills.

Responsibilities

  • Scan and upload completed service job files.
  • Operate standard office equipment.
  • Assist with invoicing and collections.
  • Perform general data entry for accounting purposes.
  • Check and verify job files, timesheets, and service tickets for accuracy.
  • Communicate effectively via phone and email with the accounting department, Deshazo customers, and executives.
  • Assist the Branch Manager, Office Manager, Salespeople, and Technicians with administrative tasks as needed.
