About The Position

Hazen & Sawyer is seeking a proactive and energetic Administrative Assistant (AA) to join our Atlanta office.  This in-office position will provide day-to-day administrative support for the entire office. The ideal candidate is a self-starter with exceptional organizational skills, good interpersonal skills, a service-based work ethic, and the ability to successfully multi-task.  You must be organized, proactive, dependable, and enjoy working with others. This role requires local travel throughout metro Atlanta to pick up supplies and coordinate local events.  Occasional ork outside of normal business hours may be required (typically for events). Requirements

  • Excellent written and verbal communication skills, with the ability to interact with a variety of staff, clients, and vendors.
  • Strong multi-tasking skills: ability to organize and coordinate multiple concurrent tasks to completion.
  • A strong work ethic, efficient work methods, and attention to detail.
  • Ability to take direction and complete tasks with minimal supervision.
  • Proficient with office productivity software (including Microsoft Word, Excel, PoerwPoint, and Outlook) and an aptitude for learning nee software and systems.
  • Ability to lift and carry up to 50 pounds on a regular basis.
  • A valid Georgia driver's license with ability to utilize a personal vehicle to travel locally.
  • A minimum of 2 years' experience as an Administrative Assistant.

Responsibilities

  • General Receptionist Duties
  • Answer telephone calls and emails.
  • Be responsible for office visitors.
  • Responsible for general office upkeep and ensuring that the office is clean and organized at all times (the office space is cleaned daily by professional cleaners).
  • Ensure all aspects of the office common areas are organized and tidy.
  • Responsible for incoming and outgoing mail and shipments.
  • Responsible for equipment / supplies inventory.
  • Office Support
  • Arrange catering for internal and external meetings and events.
  • Plan, coordinate, and/or support on-and off-site activities and events, including researching activity alternatives and preparing a summary of options, coordinating with venues/vendors, managing logistics, and invite/rsvp list.
  • Coordinate with vendors, including ordering and tracking equipment/supplies and ensuring invoices are processed.
  • Prepare and submit expense reports for office leadership in a timely manner.
  • Assist with onboarding new colleagues, ensuring they are welcomed and provided with the resources they need to integrate smoothly into their roles.
  • Plan and coordinate travel itineraries and bookings for local staff or staff visiting from other offices.
  • Serve as primary contact for building management, maintenance, safety, and security.
  • Serve as primary person to coordinate with Hazen's IT department and external resources to ensure all common printers and plotters are maintained and operating properly.
  • Document Support
  • Support Project Managers as needed with various administrative requests (i.e., meeting summaries, project summaries, invoices).
  • Assist with creating and maintaining project descriptions.
  • Assist with preparing and maintaining staff resumes.
