About The Position

Primary Responsibilities Provide administrative support to the Division Manager and Operations Manager Maintain accurate office systems, documentation, and reporting processes Process invoices, purchase orders, and work order documentation Support scheduling and data entry for TracID™ orders and certifications Serve as the primary point of contact for incoming calls and facility visitors Assist with month-end reporting and departmental coordination Job Duties Assist the Operations Manager with scheduling pending TracID™ orders and ensuring accurate tracking. Perform data entry in the Tuboscope™ TruData™ system for TracID™ certificate generation. Process vendor invoices and submit for payment in accordance with company procedures. Issue purchase orders once requisitions are approved by appropriate personnel. Support office staff with work order closure and required month-end reporting activities. Attend weekly management meetings and prepare facility publication printouts and documentation. Answer and route incoming phone calls, screen visitors, and manage security door access. Maintain organized filing systems and accurate records. Review and analyze special reports, summarizing findings to keep management informed. Participate in training workshops related to TracID™ software updates and enhancements. Perform other administrative duties as assigned by the Division Manager.

Requirements

  • High school diploma or equivalent required.
  • 1–2 years of clerical, administrative, or data entry experience required.
  • Proficiency in Microsoft Office applications including Excel, Word, Outlook, and Teams required.
  • Strong written and verbal communication skills.

Nice To Haves

  • Experience with ERP or MRP systems (JD Edwards preferred).
  • Basic knowledge of procurement processes preferred.
