The Strategic Advisory business is seeking an experienced and highly motivated Administrative Assistant to support senior team members. The ideal candidate will possess strong administrative, organizational, and communication skills, with the ability to exercise good judgment and balance multiple priorities.

Requirements

  • Bachelor's degree preferred
  • 3+ years in an administrative assistant position, preferably within Financial Services, ideally Investment Banking
  • Exceptional organizational and time-management skills; ability to manage multiple priorities and work under pressure; problem solve and make adjustments as needed
  • Excellent verbal and written communication skills and attention to detail
  • Professional presence, positive demeanor and strong interpersonal skills
  • High level of integrity, sound judgment and strong work ethic
  • Eagerness to work in an entrepreneurial, results-driven environment
  • Proficiency in Microsoft Office Suite

  • Hospitality or customer service background a plus

Responsibilities

  • Act as gatekeeper to professionals and maintain relationships with clients, investors, prospective clients and internal employees
  • Arrange domestic and international travel across time zones for professionals, including flights, cars, hotels, visas and other reservations
  • Manage calendars, schedule appointments, coordinate with other assistants and confirm meetings with clients and colleagues
  • Schedule conference rooms for internal and external meetings; coordinate supporting technology
  • Meet and greet guests; register guests in visitor system
  • Assist in the development of internal and external meeting materials to ensure professionals are prepared for client pitches, conferences and speaking engagements and follow up on any action items
  • Send and reply to emails on behalf of professionals; draft other correspondence
  • Cover multiple phone lines and communicate with clients as requested
  • Communicate with clients on a regular basis
  • Track, prepare and process expense reconciliations, out-of-pocket reports and invoices
  • Handle confidential documents and correspondence as needed
  • Maintain entry of data and data integrity in databases including Outlook contacts and client tracking databases
