Whether it’s water and storm damage restoration, mold mitigation, fire and biohazard cleanup, or professional floor and air duct cleaning, we take pride in providing reliable, high-quality service with compassion and professionalism. Our mission is simple: to restore comfort, safety, and peace of mind to every customer we serve. We’re looking for a reliable, customer-focused Office Assistant to help manage day-to-day front office operations. You’ll answer incoming calls, follow up with customers, schedule jobs, call new leads, and support payment follow-ups/collections—helping keep our calendar full and our customers taken care of. This role requires exceptional organization, multitasking, and communication skills to support both the office and field teams while following established SOPs and the “Voda Way.”

Requirements

  • Confident on the phone and comfortable making outbound calls (leads + payment follow-ups)
  • Strong organization and attention to detail
  • Ability to multitask in a fast-paced environment
  • Excellent verbal and written communication abilities.
  • Basic computer skills (email, calendars, CRM systems)
  • Professional, calm communication style

Nice To Haves

  • Experience in home services (cleaning/restoration/plumbing/HVAC) scheduling or dispatch
  • Experience with invoicing, AR, or payment collections
  • Familiarity with lead platforms (Angi, Thumbtack) and responding quickly to inquiries

Responsibilities

  • Answer incoming phone calls, texts, and messages; provide friendly, professional customer support
  • Schedule appointments and coordinate technician calendars
  • Call new leads promptly from lead sources, qualify needs, and book appointments/estimates
  • Perform customer follow-ups (estimate follow-up, post-service check-ins, review requests)
  • Make collections/payment follow-up calls and document outcomes
  • Update customer/job notes in the CRM and keep accurate records
  • General office admin support as needed (invoices, job files, routing messages)
  • Communicate with vendors and assist with supply ordering as needed.
  • Assist in maintaining compliance with certifications, safety, and company policies.
  • Apply for and maintain vendor programs.
