About The Position

At Regions, the Administrative Assistant provides administrative and clerical services to support the overall needs of the business. This position may assist a leader, division, or department. The role involves managing confidential, strategic, and business critical information, assisting with moderately complex projects, and initiating routine and some non-routine correspondence. The assistant is expected to stay updated on department technology and troubleshoot issues, prepare reports and presentations, and coordinate business travel details. Other duties include completing expense reports, managing a leader's email inbox, scheduling and maintaining calendars, coordinating meetings, preparing materials, and distributing minutes. The position also involves greeting and directing visitors, answering and directing incoming calls, resolving routine inquiries, and assisting with scanning, copying, faxing, filing, mailings, and other similar tasks. Receiving and distributing mail, ordering supplies and equipment are also part of the role. The Administrative Assistant acts as a resource to less experienced associates and may provide backup coverage to other Administrative Assistant associates.

Requirements

  • High School Diploma or GED
  • Five (5) years of administrative experience
  • Ability to deal well with changing assignments and priorities
  • Ability to perform work with high level of autonomy
  • Ability to work under pressure and meet deadlines
  • Advanced skills with Microsoft Office (Excel, Word, PowerPoint, Outlook, etc.)
  • Attention to detail
  • Customer service oriented
  • Strong verbal, written communication, and organizational skills
  • Strong work ethic and self-motivation

Responsibilities

  • Keep abreast of all technology used by department and troubleshoot any issues
  • Prepare reports and presentations

  • Coordinate meetings, prepare materials and distribute minutes of meetings
  • Greet and direct visitors

  • Receive and distribute mail
