About The Position

This Administrative Assistant supports a fast‑paced service operation by acting as a primary point of contact for customers and coordinating service technicians. This role is heavily customer‑service focused, with responsibilities centered on scheduling, communication, and service support, along with light billing and invoicing assistance.

Requirements

  • Previous administrative or customer service experience in a fast‑paced environment
  • Strong communication skills and comfort handling high volumes of customer interactions
  • Ability to manage schedules, prioritize requests, and multitask effectively
  • Basic experience with invoicing, billing, or data entry preferred
  • Proficiency with Microsoft Office (Outlook, Excel)

Nice To Haves

  • Experience in a service‑based or dispatch environment is a plus

Responsibilities

  • Serve as the first point of contact for customers via phone and in person, providing friendly, professional service
  • Schedule and coordinate service technicians based on customer needs and technician availability
  • Create and manage service tickets, accurately documenting customer issues and requests
  • Communicate clearly with customers regarding services, timelines, technicians, and costs
  • Assist customers with basic troubleshooting and help determine next steps for service
  • Maintain accurate customer records and update service information in internal systems
  • Contact customers when additional work is needed and explain changes before proceeding
  • Support billing and invoicing processes with attention to detail
  • Work closely with technicians and internal team members to ensure smooth service delivery
  • Assist with general administrative tasks and provide backup support as needed
