About The Position

The Administrative Assistant performs duties that provide office services by implementing administrative systems, procedures, and policies to ensure effective and efficient operation. The position requires a strategic partnership with the Project Management, Operations, and Preconstruction/Estimating teams to complete administrative tasks as they arise. The Administrative Assistant must be a flexible team player with strong communication and client service skills.

Requirements

  • Three years of administrative/secretarial experience
  • Ability to physically stand, bend, sit for long periods, and squat throughout the day.
  • Ability to repeat the same movements.
  • Ability to communicate effectively and participate fully in meetings, video conferences, and phone calls.
  • Use hands to type, handle, control, or feel objects, tools, or control.
  • Occasionally lift, pull, or move up to 25 lbs.
  • Occasional travel will be required, primarily in the metropolitan area but sometimes domestically (must have a valid Driver’s License).

Responsibilities

  • Provides administrative and clerical support to the team
  • Answer incoming calls and respond according to protocol
  • Correspond with clients via phone and e-mail communication
  • Assist with budgets and financing as needed
  • Help prepare meeting agendas and presentations
  • Manage calendar and schedule appointments
  • Arrange travel plans and itineraries
  • Assist with the preparation of expense reports in accordance with Accounts Payable’s policies and procedures
  • Maintain office supply stock
  • Responsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work.
  • Greet all guests who arrive at the Manhattan office
  • Maintain an orderly lobby
  • Strive to build effective relationships with clients, vendors, and internal Manhattan employees
  • Performs general administrative tasks as necessary
  • Maintains conference rooms
  • Collects and sorts mail
  • Makes service calls and applicable order supplies
  • Signs for deliveries and notifies the appropriate recipient
  • Ships packages and materials as needed
  • Responsible for conducting themselves in accordance with our Guiding Principles and exhibiting attributes matching the Way We Work.
  • Other duties as assigned
