About The Position

The Administrative Assistant is responsible for supporting daily office operations through accurate data entry, document preparation, reporting, and general administrative tasks. This role requires strong Excel and reporting skills, the ability to work within an ERP system, and proficiency with Microsoft Dynamics. The ideal candidate is bilingual, organized, detail-oriented, and experienced in a fast-paced office environment.

Requirements

  • Bilingual in Spanish and English is required
  • Minimum 3+ years of administrative or office support experience
  • Strong proficiency in Excel (formulas, formatting, and report-building)
  • Experience working with ERP systems; Microsoft Dynamics strongly preferred
  • Ability to create professional PowerPoint presentations
  • Excellent organizational and recordkeeping skills
  • Accurate data entry abilities with strong attention to detail
  • Strong written and verbal communication skills
  • Ability to multitask and work efficiently in a fast-paced environment

Responsibilities

  • Create and maintain spreadsheets to support office and operational needs
  • Run reports and extract data from the ERP system as requested
  • Prepare PowerPoint presentations for meetings, training, and internal communication
  • Enter, update, and manage data within Microsoft Dynamics
  • Organize, file, and maintain digital and physical documents
  • Support daily administrative tasks such as scanning, copying, and general documentation
  • Assist with gathering information for reports, audits, and internal reviews
  • Communicate effectively with staff and management to support workflow
  • Ensure accuracy and consistency in all data entry and reporting functions
  • Perform additional administrative duties as assigned by leadership
