About The Position

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the President of First Class Vending. This in-office role is critical to ensuring smooth operations, timely project execution, and exceptional client service. The ideal candidate will manage administrative tasks, coordinate key deadlines, and uphold the highest standards of professionalism.   First Class Vending, now part of Aramark Refreshments, has been Southern California’s leader in vending and micro-market solutions for over 30 years. Requirements

  • Proven track record of managing and delivering projects to strict deadlines.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Professional demeanor and ability to maintain confidentiality.
  • Collaborative mindset with strong interpersonal skills.
  • High school diploma required

Nice To Haves

  • Previous experience in an administrative or executive assistant role preferred.
  • Associate or bachelor’s degree in business administration or related field is a plus.

Responsibilities

  • Provide general administrative support to the President and leadership team.
  • Order office supplies and maintain inventory to ensure operational efficiency.
  • Process expense reports accurately and in a timely manner.
  • Support client requirements, including employee badging, signatory rights, and compliance documentation.
  • Maintain required operational licenses and permits with city and state entities.
  • Project manage crucial deadlines for client proposals and deliverables.
  • Coordinate meetings, prepare agendas, and manage calendars.
  • Maintain organized filing systems (digital and physical) for easy retrieval of documents.
  • Assist with onboarding processes and internal communications as needed.
  • Serve as a liaison across departments to ensure collaboration and timely execution of tasks.
  • Handle confidential information with discretion and professionalism.
  • Perform other general administrative tasks as assigned.
