General Responsibilities: The Administrative Assistant is responsible for providing clerical and administrative support, including secretarial and receptionist duties.

Requirements

  • Ability to interact with staff, individuals served, and the public in a positive manner.
  • Knowledge of Microsoft Office applications.
  • High school diploma or GED.
  • Ability to multi-task and handle detail.
  • Ability to handle sensitive information in a confidential manner.

Nice To Haves

  • Prior office administration or secretarial experience preferred.

Responsibilities

  • Open & Close the Lima Office 8am – 4:30pm 4 days a week (32 hr/week).
  • Handle all incoming calls for Main Street and Shawnee Offices.
  • Monitor the entry doors, greet those who enter, and assist as needed.
  • Maintain clean and organized common workspaces in including kitchenette, training center, and storage areas.
  • Maintain office equipment and service contracts.
  • Inventory and order office, medical, and other supplies needed for Administrative, Residential & Adult Day Services.
  • Maintain various office files and binders.
  • Scan all medical appointments and annual client information into provide.
  • File all residential client related information according to compliance standards
  • Prepare outgoing mail and distribute incoming mail to appropriate team member.
  • Maintain Outlook Room Reservations for all shared meeting spaces.
  • Prepare & set up conference room or training room for scheduled meetings & reset space after.
  • Assist with signing up staff classes, taking attendance, and maintaining class schedules.
  • Assist Benchmark’s account receivable’s department with contacting outside agencies regarding past due accounts.
  • Track annual surveys for Residential and ADS.
  • Maintain and promote healthy professional relationship with co-workers, clients, vendors, outside agencies and families.
  • Maintain accurate and up to date Residential Miles Tracking Grid for Lima Caseload monthly.
  • Travel including to the St Marys office, Walmart, Post Office, and other locations as necessary.
  • Report to work as scheduled.
  • Other duties as assigned.
