About The Position

Administrative Assistant Contract-to-hire If you’re someone who thrives on structure, loves staying organized, and naturally keeps others on track—this is a role where you’ll truly shine. We’re partnering with a growing company to find a Full-Time Administrative Assistant for their Rochester office. This is a highly visible, in-office role where you’ll support leadership, coordinate operations, and serve as a key point of contact for clients and vendors. This team is collaborative, service-driven, and values reliability—this role is essential to keeping everything running smoothly day to day. -What You’ll Be Doing You’ll be at the center of operations, supporting both the office and field teams: Coordinate schedules for leadership, project teams, and field technicians Create and track work orders and service requests Support the General Manager with organization, follow-ups, and deadlines Communicate with clients and vendors (updates, confirmations, issue resolution) Assist with procurement, purchase orders, and vendor coordination Support invoicing processes and partner with accounting on AR/AP Manage inventory, shipping/receiving, and light warehouse coordination Maintain an organized, efficient office environment Assist with client outreach and occasional marketing efforts - What Makes You a Great Fit Highly organized with strong attention to detail Reliable, consistent, and responsive—this team depends on you Strong communication skills (phone, email, internal coordination) Able to multitask and prioritize in a fast-paced environment Tech-savvy (Google Workspace required; Monday.com or QuickBooks a plus) Comfortable supporting a hands-on leader and helping keep processes moving - Schedule & Environment Monday–Friday | 7:30 AM – 4:00 PM Fully in-office (Rochester location) Small, tight-knit team No evenings or weekends - Compensation & Benefits $19–$21/hour (based on experience) Health insurance 401(k) with 6% match 2 weeks PTO + 5 sick days (increases with tenure) 9 paid holidays Cell phone allowance + company laptop
