About The Position

NexGen Technologies, Inc. is currently seeking a part-time Administrative Assistant to provide professional administrative and operational support across NexGen’s corporate functions, ensuring efficient coordination of day-to-day business activities. This role supports scheduling, documentation, reporting, expense processing, meeting coordination, and internal communications while maintaining accurate records and organized files. The Administrative Assistant works collaboratively with cross-functional teams, supports internal stakeholders with a customer-centric mindset, and contributes to a structured, deadline-driven environment that upholds NexGen’s standards of professionalism, compliance, and operational excellence.

Requirements

  • One to three years in an administrative role supporting complex teams, programs, or projects in a professional environment.
  • Proficiency with Microsoft Outlook, Excel, Word, PowerPoint, and Teams.
  • Proficiency with Zoom.
  • Presents ideas clearly, logically, and concisely, both in verbal and written communications.
  • Prioritizes organization, attention to detail, consistency, and task completion.
  • Champions continuous learning, adaptability, creative problem solving, relentless improvement, and innovative thinking.
  • Demonstrates ability to manage recurring administrative processes with accuracy and timeliness.

  • Exceptional written and verbal communication skills, with a keen eye for detail and clarity.
  • The successful candidate will also be able to pass background screening prior to employment.
  • U.S. Citizenship, legal permanent residence, or valid U.S. work authorization with a minimum of three years of U.S. presence is required due to federal contract requirements.

Responsibilities

  • Office management
  • Provide a consistent presence at the front desk.
  • Answer phones and greet visitors; provide assistance, and route caller/visitor to appropriate staff members.
  • Send faxes, scan documents, make copies, file, and run errands, as needed.
  • Manage incoming and outgoing correspondence including emails, mail, and packages.
  • Order and pick up office supplies, as needed.
  • Maintain inventory and asset tracking.
  • Light office cleaning, as needed.
  • Administrative support
  • Schedule and coordinate meetings, as needed.
  • Maintain project contact list for the company and the organizational chart.
  • Send out emails, enter responses, and process candidate recommendations and employee awards.
  • Prepare monthly expense reports with cataloguing receipts, uploading documentation, and correctly assigning projects.
  • Assist with preparing and editing documents, including invoicing reports, presentations, and spreadsheets.
  • Assist with planning company meetings, events, and special projects.
  • Monitor daily employee Attendance Hotline and update management calendar.
  • Provide administrative support to corporate staff and managers, as requested.
  • Other duties may be assigned.
