About The Position

Seeking an Administrative Assistant, who is self-motivated, action-oriented, independent, reliable, and has excellent communication skills. Willing to take on new responsibilities and grow within company. This is a part time role but can become a full-time role in the near future. Reception: Be available to answer calls, greet and direct visitors(when in office) and vendors, receive deliveries and catering. Assist with scheduling and event planning. Employee Experience: We are headquartered in San Jose but our team is spread across the US, Canada, Argentina, Spain, and the Philippines. Bring a creative and fun element to our team by organizing events, implementing perks, and making enhancements to our workspace. Support the CEO and other executives as needed with planning, scheduling, and conferences. Workspace: We want the Administrator to have a sense of ownership and pride in our physical workspace. The Administrator is responsible for general upkeep, cleanliness, and supply management of the office.

Requirements

  • Pleasant, positive, professional attitude
  • 1-3 years of solid administrative experience
  • High School Diploma/ GED required; College coursework/degree preferred
  • Careful attention to detail
  • Highly organized and proactive
  • Work well in a fast paced environment, with changing priorities
  • Professional appearance
  • Phone etiquette required
  • Strong verbal and written communication skills
  • Must do things in a timely, professional, and accurate manner.
  • General office/administrative skills: filing, typing, scheduling, faxing, copying, scanning, etc
  • Open and proactive communicator with willingness to help others
  • Well-versed in Google Apps for Work (Google Sheets, Docs, Slides, Drive, Calendar), MS Office (Word, Excel, PowerPoint)

Responsibilities

  • Answering and screening phone calls
  • Ensuring office area is tidy
  • Ordering office supplies and maintaining inventory
  • Maintaining both electronic and hard copy files
  • Scheduling meetings and events and updating calendars
  • Providing general support to the office and any issues that may arise
  • Vendor management, contact the vendor to deal with office facility issues.
  • Event coordinating.
  • Manage/Coordinate shipments from factory and customer sites of robots.
  • Willing to learn and take ownership of this growing function within Relay Robotics.
