About The Position

SnapIT Solutions is seeking a highly organized and detail-oriented Administrative Assistant to support a multi-year construction project. This role provides critical clerical and administrative support to on-site project leadership and engineering personnel. Working primarily from an office trailer located at an active job site, this position plays a key role in maintaining documentation, coordinating communication, and ensuring smooth daily operations. Requirements

  • High school diploma or equivalent
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • High attention to detail and data accuracy
  • Ability to manage multiple priorities in a dynamic environment
  • Strong organizational and time-management skills
  • Ability to work independently and collaboratively
  • Valid driver’s license required
  • Intermittent travel may be required
  • Comfortable working in a job-site environment (office trailer setting)
  • Must wear required PPE when entering active construction areas
  • Strong attendance and reliability record

Nice To Haves

  • Bachelor’s degree in Business, Communications, Accounting, or related field
  • Experience with enterprise systems such as PeopleSoft, Box, or similar platforms
  • Experience supporting construction or engineering teams
  • Strong problem-solving and analytical skills

Responsibilities

  • Provide administrative support to Project Managers, Supervisors, Engineers, and Field Management
  • Handle confidential project documentation
  • Assist with purchase orders, invoice coding, and expense tracking
  • Prepare monthly expense reports
  • Coordinate travel planning and scheduling
  • Manage incoming calls, visitors, deliveries, and project mail
  • Prepare meeting agendas, record minutes, and distribute follow-up documentation
  • Maintain office organization, supplies, and project records
  • Coordinate facility scheduling and catering for meetings and events
  • Create vendor requisitions and receipts
  • Support training and safety event coordination
