About The Position

Purpose Statement: The specific focus of this role will be to act as an administrative assistant supporting the High School office and Administrative team, in order to best support the Calvary Christian Academy students and families in a way that glorifies God. Scope: This person is the office representative and serves as a liaison and representative for the High School Administrative team, faculty and staff, parents and students, pastors and church staff, and any outside contacts. This position is responsible for filtering and directing people to the appropriate person, answering and routing telephone calls, making appointments, setting up conference rooms, filing documents, processing all communication, maintaining supplies, answering student questions and issues as needed, and performing other administrative duties of similar or related level as necessary or assigned. As a support, this person must be able to organize and prioritize their daily responsibilities, and multitask while maintaining integrity with the Principal and the faculty and staff. Effective time management, consistent communication, maintaining confidentiality, anticipating needs, and working independently with little direction at times are all requirements for this position.

Responsibilities

  • Managing and maintaining all administrative aspects daily, but not limited to: phone calls, e-mails, and other correspondence, calendar management, filing systems, copying, processing all forms for print and media requests, check requests, processing incoming mail, etc.
  • Managing daily tasks and responsibilities assigned by the Principal, including appointments, schedules, correspondence, etc., preparation of reports, organizing events, etc.
  • As a representative of the office, it is essential to maintain interpersonal and professional relationships with all who interact with the office. Understand the importance of discretion in these relationships. Recognize that these relationships include but are not limited to: Head of School, Administration, church board, pastors and staff, parents and students, faculty and staff.
  • Attending some of the high school and school-wide events, providing guidance and assistance where appropriate.
  • Research various matters affecting the school and assist with the preparation of presentations, reports, charts, and other documents for the department as needed.
  • Completing special assignments and projects as assigned.
  • Coordinate HR-type functions, including processing applications, communicating with applicants, and working closely with HR.
  • Liaison with CCA families and the Principal regarding parent/student concerns as necessary, ensuring clear communication.
  • Occasionally required to lift and/or move up to 40 pounds.
  • Performs other duties of a similar or related level as necessary or assigned.
  • May sit for a prolonged period of time in front of a computer.
  • Serve as Payroll Edit Manager for High School faculty and staff.
  • Maintain working knowledge of payroll systems, including Frontline and Paycor.
  • Ensure accurate attendance records for sick time and PTO.
  • Collaborate with the Substitute Coordinator on substitute-related matters.
  • Enter student conduct infractions and assign appropriate consequences in student records.
  • Prepare and submit Ministry Reimbursement, Stipend, and Professional Development requests.
  • Update and post High School Morning Announcements daily.
  • Prepare agendas for high school meetings, record meetings, and upload recordings to Google Drive.
  • Oversee all student locker-related tasks, including assigning locker combinations and maintaining master locker lists.
