About The Position

The Administrative Assistant supports the assigned Manager in the daily operations of the association, serving as a liaison for resident services, overseeing administrative functions, and assisting in supervising front desk and access control staff. This role ensures efficient office operations, supports community engagement efforts, and helps maintain compliance and service standards.

Requirements

  • Must be at least 18 years of age and successfully pass a pre-employment background check and drug screening
  • Must have a minimum of a High School Diploma or equivalent.
  • Strong organization and communication
  • Proficiency in Microsoft Office and comfort with internal systems (SharePoint, Community Platforms)
  • Ability to multitask, resolve conflict and provide excellent customer service.

Nice To Haves

  • Bachelor's Degree preferred.
  • At least 2 years of relevant experience in property management, hospitality, or similar field preferred.

Responsibilities

  • Manage office operations including phones, correspondence, scheduling, and supply inventory.
  • Assist in preparing board meeting agendas, notices, reports, and take meeting minutes.
  • Maintain vendor files, contracts, insurance certifications, and association records.
  • Draft and distribute community communications, email blasts, and notices.
  • Coordinate Architectural Review Committee meetings and take minutes.
  • Communicate with homeowners on application status and manage related documentation.
  • Schedule inspections and track architectural deposits/refunds.
  • Address resident concerns, issue access devices, and assist new residents with onboarding.
  • Support scheduling, training, and supervision of front desk and access control staff.
  • Provide front desk coverage as needed.
  • Process service-related payments, invoices, and amenity rentals.
  • Prepare monthly delinquency reports and research invoice discrepancies.
  • Act as Manager on Duty in the absence of the General or Operations Manager.
  • Conduct routine inspections of common areas and generate work orders.
  • Maintain updated staff and resident contact lists.
