SierTeK Ltd. is seeking an Administrative Assistant to support an opportunity at Wright Patterson AFB. Position Overview Section Provides administrative, records management, and contract support to the 711 HPW/OMP organization. This role ensures efficient day-to-day operations by maintaining data systems, supporting contract administration processes, and assisting leadership with reporting, tracking, and compliance activities.

Requirements

  • Minimum of 3 years of experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom).
  • Strong organizational, data management, and communication skills.
  • Ability to manage multiple tasks and maintain accuracy in a fast-paced environment.
  • Active Non-Disclosure Agreement (NDA) required; employer must provide documentation to the Program Manager.

Responsibilities

  • Support daily management of contractual requirements and operations.
  • Administer the records management program, including inventory, file maintenance, disposition, and training.
  • Maintain and manage data repositories related to projects, programs, and organizational activities.
  • Develop and support automated data products (reports, spreadsheets, briefings, databases) using government systems.
  • Provide administrative and monitoring support to Contracts Program Managers (CPMs), Contracting Officer Representatives (CORs), and Contracting Officers (COs).
  • Receive, review, and process invoices and monthly status reports; resolve discrepancies or coordinate corrections as needed.
  • Establish and maintain project records in the Project Tracking System (PTS) or other designated systems; generate reports as required.
  • Update and manage procurement and tracking logs (e.g., PR Log, Management Log).
  • Support contract closeout activities by requesting required documentation and reconciling contract records; provide status updates in progress reports.
  • Manage correspondence, including file setup, distribution, tracking, and customer inquiries.
  • Prepare, copy, scan, route, and file official documents and communications.
  • Provide quantitative and statistical data support to Division leadership.
  • Assist with suspense tracking, task management, and internal coordination.
  • Support supply ordering and general administrative functions.
