About The Position

Position Summary: The Administrative Assistant position is responsible for supporting the assigned Executives and team. This position is responsible for coordinating meetings, creating reports, supporting assigned meetings, facilitating new employee orientation and organizing documents. They are a proactive problem solver with excellent communication skills and strong attention to detail.

Requirements

  • Bachelor’s Degree, preferred.
  • HS degree required
  • 1-3 years of administrative assistant experience.
  • Valid drivers license and vehicle insurance required.
  • 5 years of licensed driving experience required.
  • Ability to understand, remember, and apply oral and written instructions or other information.
  • Ability to plan, organize, and carry out assignments from management staff with minimal direction.
  • Ability to analyze situations and make decisions that moderately impact the immediate work unit.
  • Ability to organize and prioritize job duties effectively and timely, set priorities, and meet critical deadlines.
  • Ability to understand and follow basic instructions and guidelines, complete routine forms, and communicate orally.
  • Physical requirements for this position include hearing, seeing, smelling, speaking, feeling, reaching, pinching, and repetitive motions.
  • This position requires standing, walking, and bending for long periods.
  • This position may require exerting up to 40 pounds of force to lift, carry, pull, or move objects.

Responsibilities

  • PRODUCES PRESENTATIONS AND REPORTS IN A TIMELY MANNER.
  • FACILITATES COMMUNICATION AND ASSISTANCE FOR THE BOARD OF DIRECTORS AS A TRUSTED LIAISON AS NEEDED.
  • COORDINATES AND SUPPORTS VARIOUS EXECUTIVE-LEAD MEETINGS AND ACTIVITIES, INCLUDING DOCUMENTATION AND MINUTES AS NEEDED.
  • DELIVERS EXCEPTIONAL HOSPITALITY TO EVERY GUEST, ENSURING A WARM AND INVITING ATMOSPHERE.
  • CREATES EFFICIENT ORGANIZATIONAL RECORD RETENTION AND RETRIEVAL PROCEDURES.
  • CONDUCTS THOROUGH RESEARCH AND ANALYSIS TO PRODUCE HIGH-QUALITY DOCUMENTS FOR REVIEW AND PRESENTATION TO BOARDS OF DIRECTORS, COMMITTEES, AND EXECUTIVES.
  • EFFICIENT HANDLING OF INCOMING CORRESPONDENCE: SORTING, DISTRIBUTING, AND RESPONDING TO FAXES, EMAILS, AND PHONE CALLS.
  • ASSUMES RESPONSIBILITY FOR ASSIGNED EXECUTIVE SCHEDULING NEEDS. THIS INCLUDES MANAGING AGENDAS, EMAILS, CALLS, ARRANGING TRAVEL, DEALING WITH CLIENTS, AND OTHER KEY LOGISTICS THAT ARE IMPORTANT FOR THE ORGANIZATION’S SUCCESS.
  • MAINTAINS A HIGH LEVEL OF PROFESSIONALISM AND STRICT CONFIDENTIALITY WHEN HANDLING ALL MATERIALS, EXERCISING DISCRETION IN ALL BUSINESS INTERACTIONS TO ENSURE CONFIDENTIALITY IS UPHELD.
  • OTHER DUTIES AS ASSIGNED.
