We have an opportunity for an Administrative Assistant to join our Apex, NC team. You will be responsible for ensuring seamless documentation management, efficient office operations, and exceptional hospitality within the organization. This role serves as a central resource for SharePoint administration, facilities coordination, event planning, and executive support, contributing to a productive and welcoming workplace experience.

Requirements

  • Experience with SharePoint administration and documentation management a must.
  • Strong organizational skills and attention to detail.
  • Excellent communication and collaboration abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Concur expense system.
  • Ability to multitask and adapt to changing priorities in a fast-paced environment.
  • Customer service mindset with a proactive approach to problem-solving.

Responsibilities

  • Administer and maintain SharePoint sites, ensuring structured content, intuitive navigation, user access control, and up‑to‑date resources
  • Develop, edit, and standardize user guides and training materials, translating technical content into clear, user‑friendly documentation
  • Perform routine site audits and cleanups, partnering with leadership to keep content accurate and relevant
  • Provide administrative support to the Chief Technology Officer and senior leaders, including calendar management and consultant coordination
  • Plan and support onsite and offsite meetings, executive visits, and team events, managing venues, catering, contracts, logistics, and materials
  • Coordinate meetings and events end‑to‑end, including agendas, supplies, snacks, swag, setup, and breakdown
  • Process expense reports and P‑card transactions in Concur, ensuring accurate coding, receipts, and cost center allocation
  • Oversee conference room readiness, seating charts, new‑hire workspace setup, and visitor wayfinding
  • Manage visitor operations, including greeting, badging, security logs, and permissions
  • Coordinate with vendors for janitorial, signage, safety, and entertainment services
