About The Position

The Administrative Assistant is responsible for providing support with the day-to-day administrative functions of the branch by creating and maintaining records, compiling reports, gather and process data, schedule, coordinate, and office functions correlating to the established procedures and policies.

  • Maintain a tactful, mature and professional demeanor with well-developed interpersonal skills, including the ability to work with diverse personnel
  • A minimum of 2+ years’ administrative experience as an office administrator, office assistant or relevant role
  • High School Diploma
  • High Volume environment
  • Experience with Microsoft software such as Word, and Excel

Responsibilities

  • Creates and maintains project files with supporting documentation for inspection or daily query, both electronic and physical, if applicable
  • Responsible for posting, submitting, and approving payroll for field personnel
  • Ensures all vendor tickets are coded correctly and submitted to accounts payable for payment
  • Provides support with account collections, vendor set up and coding of invoices
  • Assists Project Coordinator with accurate invoicing for services provided to customers
  • Submits project cost reports to management and operations daily
  • Reconciles company credit card transactions and expense reports for field personnel
  • Other duties as assigned
