About The Position

We are seeking a highly organized and proactive Administrative Assistant to support our team with daily office operations and various administrative tasks. This includes providing routine clerical support to the Director of the Student Resource Center, assisting with the planning and coordination of New Student Orientation events, supporting Ivy Cares student services, assist the Counseling and Wellness department and other wraparound services, creating and maintaining a database system and provide excellent customer service for all in-person visits, incoming emails and phone calls. Requirements

  • An Associate’s degree or equivalent work experience with significant experience in general office support is required.
  • Excellent computer skills and knowledge of spreadsheets and word processing required.
  • Must be able to maintain proficiency and competency in administrative support procedures with the ability to determine priorities, organize work, to follow through to completion the assignments given.
  • Must demonstrate the ability to maintain a cooperative, flexible, and supportive working relationship with a diverse population of students and employees.
  • Selected candidate for employment will be subject to pre-employment background checks, including criminal history check, and any offer of employment will be contingent upon that outcome.
  • Copies of transcripts required at time of hiring.

Nice To Haves

  • Experience data base management, desktop publishing, web development, and ability to learn management software preferred.
  • Prior experience with event, conference, and meeting planning and post secondary work experience in student affairs highly desired.

Responsibilities

  • General Office Support: Answer and direct phone calls, emails and in-person inquiries
  • Maintain office supplies and ensure the office environment is tidy and organized
  • Coordinate and schedule meeting and appointment
  • New Student Orientations Events Assist with the planning of these events throughout the year, approximately 7 each year. Communicate and share this event with incoming students
  • Attend all orientations, these are mostly held evening and weekends.
  • Ivy Cares Student Services Support all Ivy Cares services, which include, community cupboard, sharing shelves, loaner laptops, financial resources and mental health. Create and maintain tracking data related to the use of Ivy Cares services. Share and communicate Ivy Cares resources to students, staff and faculty.
  • Counseling and Wellness/Wraparound Services Assist with creating appointments for students that want to meet with our campus licensed counselor. Have a general understanding of other wraparound services on campus and be able to effectively refer the student to the appropriate areas.
  • Document Management, Data Entry and Record Keeping: Prepare and edit correspondence, reports and presentations
  • Maintain and organize digital and physical filing systems
  • Assist with document preparation and ensure all files are accurate and up-to-date.
  • Input and update data in relevant systems.
