About The Position

Performs highly complex administrative support work. Work involves providing and coordinating administrative support including disseminating information; developing filing systems; and preparing and editing reports and documents. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Two years full-time, wage-earning customer service, clerical, administrative support, technical program support, and criminal justice experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill to review technical data and prepare technical reports.
  • Skill to plan work in order to meet established guidelines.
  • Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.

Nice To Haves

  • Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.

Responsibilities

  • Performs advanced administrative support and technical assistance work for an agency program; develops administrative and technical assistance policies and procedures; and participates in the planning and execution of an agency program.
  • Prepares, edits, and distributes correspondence, requisitions, forms, and other documents; assists in researching technical issues; and compiles data, makes calculations, and prepares reports and spreadsheets.
  • Responds to inquiries regarding technical program and administrative rules, regulations, policies, and procedures; coordinates work with other offices, agencies, and organizations; and provides liaison with departments of the agency, other agencies, organizations, legislative staff, officials, and the public.
  • Schedules and coordinates meetings, interviews, and conferences; prepares agendas, attends meetings, and takes minutes; and makes travel arrangements and prepares related documents.
  • Develops and maintains filing, record keeping, and records management systems; and provides training and technical assistance to others.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
