Requirements

  • 5+ years of administrative support experience
  • Strong skills in Microsoft Office Suite, Oracle, SharePoint, Ariba, Zoom, and Slack
  • Proven ability to handle confidential information with professionalism
  • Meticulous attention to detail and ability to adapt quickly
  • Strong communication skills and comfort interacting with employees at all levels, including senior leaders and executives
  • Experience working cross-functionally with multiple departments
  • Reliable personal transportation
  • Willingness to obtain notary certification if needed
  • Must be able to lift and move boxes weighing up to 20 lbs
  • Must be able to drive and maintain a legal driver's license

Responsibilities

  • Support space planning, seat assignments, staff moves, and Engage administration
  • Maintain clean, organize, fully stock common areas (conference rooms, kitchenettes, breakroom, restrooms)
  • Coordinate and order daily lunches for meetings and bill against the program’s cost center or project (including set up and cleanup)
  • Submit and track work orders and purchase orders
  • Manage mailroom operations, including tracking deliveries and distribution
  • Monitor Ricoh printers regularly and stock with paper, toner, staples, on as needed basis. Manage Ricoh service calls as needed and communicate of downtime
  • Assist with visitor/contractor check-ins
  • Coordinate on-site and off-site meetings, catering, and virtual/hybrid sessions
  • Manage campus snack and soda/ water offerings purchases
  • Manage the Duluth office supplies budget, invoices, PO’s, and potential similar support for other locations to support the broader facilities team
  • Plan and deliver campus wide events (social gatherings, holiday events).
  • Responsible for company-issued P-Card and all monthly reconciliation and reports
