About The Position

The Administrative Assistant provides comprehensive administrative support to the Human Resources and Administrative teams at Tapestry 360 Health. This role is responsible for coordinating day-to-day operations including scheduling, document preparation, file maintenance, communication support, and project coordination. The ideal candidate is highly organized, detail-oriented, professional, and able to maintain confidentiality while managing multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • At least 2 years of administrative or office support experience, preferably in a human resources or healthcare setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with HRIS or ADP is a plus.
  • Excellent organizational, time management, and written/verbal communication skills.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Customer service orientation and ability to work collaboratively with diverse teams.

Responsibilities

  • Coordinate interview scheduling and candidate communication in collaboration with HR staff and hiring managers.
  • Prepare and distribute new hire packets and onboarding materials.
  • Maintain and update personnel files (electronic and paper), ensuring accuracy and confidentiality.
  • Track completion of mandatory trainings, certifications, and license renewals.
  • Assist with onboarding logistics including scheduling orientations and collecting required documentation.
  • Support offboarding processes, including collecting exit documentation and deactivating system access.
  • Respond to general inquiries and route requests to the appropriate HR team member.
  • Prepare, proofread, and format memos, letters, spreadsheets, and internal communications.
  • Assist with data entry and updates in HRIS and other internal systems.
  • Provide logistical support for internal events, trainings, and staff recognition efforts (e.g., Annual Meeting, staff awards).
  • Manage calendars, schedule meetings, and reserve rooms and equipment as needed.
  • Support the administrative team in maintaining electronic filing systems, tracking deadlines, and updating administrative tools.
  • Order office supplies and maintain inventory for administrative offices.
  • Serve as a point of contact for visitors and incoming calls to the administrative office.
  • Open, sort, and distribute mail or packages received at the administrative office.
  • Provide cross-coverage for other administrative support roles as needed.
  • Assist with special projects and perform other duties as assigned.
