About The Position

Specialty Counseling & Consulting is a CARF-accredited, multi-specialty behavioral health agency. We are currently looking for an Administrative Assistant to work at our Cheyenne office. The ideal candidate will be someone with excellent organization and interpersonal skills who is able to multitask and work well in a high-paced environment. This position offers potential for long term growth and career development. Advanced knowledge of computer skills, organization skills, and communication skills are required. In Office position Monday through Friday 8:00am - 5:00pm.

Responsibilities

  • Answer phones, greet agency clients and visitors.
  • Schedule intake appointments and evaluations as necessary
  • Schedule med clinic initial appointments.
  • Check in clients and verify information.
  • Receive and process all client payments (mail, in person, by phone).
  • Generate billing statements as needed.
  • Monitor and distribute/upload incoming faxes, process outgoing faxes.
  • Manage incoming and outgoing mail.
  • Enter and update patient information into EHR system, monitor for accuracy.
  • Manage office maintenance and update supply order spreadsheet (bathrooms, kitchen area, stocking, group rooms, waiting area, etc)
  • Maintain agency client files, scan and upload information, including to/from archives. Ensure that HIPAA guidelines are met.
  • Ensure that the common areas are clean and tidy for use (group rooms, conference rooms, med rooms, file room and kitchen area.)
  • Attend and record minutes for weekly staff meeting
  • Manage site inspections, drills, and site issues and needs
  • Insurance Verifications as directed.
  • Oversee maintenance and other "auxiliary" staff and contractors.
  • Other duties, as needed.
