About The Position

As an Administrative Assistant, you will provide administrative support to the General Manager, Condo Association, and other departments, ensuring smooth daily operations. You will support HR administration, manage payroll, and assist with owner communications and condominium association meetings. This role is on-site in Tampa, Florida.

Requirements

  • Ability to work Monday through Friday, 8:00 AM - 5:00 PM.
  • Prior administrative experience required.
  • Highly organized with strong attention to detail.
  • Proficiency in basic accounting and financial analysis, including the ability to calculate figures, interpret invoices, prepare month-end reports, and related financial documents.
  • Strong leadership and interpersonal skills with the ability to effectively manage, guide, and support team members.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (Excel, Outlook, Word).
  • Ability to manage multiple tasks in a fast-paced environment.

Nice To Haves

  • Prior experience in hospitality or rental management preferred.
  • Bilingual with English and Spanish preferred.
  • Some knowledge of HR administration and payroll processes preferred.
  • Knowledge of Community Association Management or HOA process a plus.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • General Manager & Office Support: Assist the GM with correspondence, scheduling, and administrative tasks. Input and track all property owner and complimentary reservations. Prepare and track gift certificates and manage office supplies.
  • HR & Payroll Administration: Process HR paperwork, coordinate benefits enrollment, and ensure payroll accuracy. Maintain confidentiality of employee records and payroll data.
  • Associate Engagement: Assist in organizing team events, luncheons, and recognition programs to foster a positive work environment.
  • Safety & Compliance: Act as the on-site safety representative, organize quarterly safety meetings, and ensure compliance with workers’ compensation policies.
  • Hotel & Condo Association Administration: Manage rental program documentation, distribute owner statements, maintain condo owner records, and coordinate annual meetings. Prepare meeting agendas, take meeting minutes, maintain meeting documents all with in accordance with Florida statutes.
  • Other duties as assigned.
