About The Position

PVEDI is a cohesive group of civil, mechanical, structural engineers, geologists, landscape architects, surveyors and talented support staff with a common goal of providing services tailored to accommodate each of our client's specific needs. The Administrative Assistant supports all staff in the New York, NY office with the following duties:

Responsibilities

  • Manages all front office activities including answering and directing all calls to recipients, takes and relays messages, pages employees when necessary.
  • Assist Human Resources with a new hire orientation.
  • Prints, assembles and prepares plans and documents for shipping and/or distribution to client.
  • Orders and maintains all personal protective equipment.
  • Orders and maintains all office supplies for the New York office.
  • Coordinates office events, group lunches and celebrations.
  • Places service calls to vendors when copiers or other office equipment are not functioning.
  • Maintains organization, stocking and upkeep of kitchen, beverage fridges and recycling.
  • Ensures the office is kept clean, organized, and free from tripping hazards. Ensures that paper and toner levels are always maintained.
  • Receive mail, sort and deliver to desks and offices.
  • Arranges for package shipping, creating mailing labels, ordering package pickup or expedited delivery.
  • Delivering documents and checks personally to clients as requested.
  • Maintains an organized office filing system.
  • Other duties as assigned.
