About The Position

The Administrative Assistant position provides administrative support to the Admin Division, District staff and volunteers. Performs a variety of administrative support work with a degree of independence and high level of responsibility. Supports and manages District day-to-day operations and systems.

Requirements

  • 18 years of age
  • High school diploma or equivalent
  • Valid Colorado driver’s license
  • Two (2) years’ experience in a full-time position performing administrative support work. A combination of education and experience may be considered.
  • Experience with computerized software programs, including Microsoft Office Suite
  • Experience with common office equipment (telephones, copiers, printers, etc)
  • Ability to communicate effectively verbally and in writing
  • Knowledge of basic math, spelling, grammar, punctuation, and vocabulary

  • Bilingual (English and Spanish)
  • Experience managing social media platforms
  • Special training, education, and/or certifications in administrative support related fields
  • Past public safety administrative services experience
  • Bachelor’s degree

Responsibilities

  • Provide comprehensive administrative support for District divisions, including typing, data entry, answering phones, and filing.
  • Prepare, format, proofread, edit, and distribute correspondence, reports, forms, and other documents.
  • Maintain office records and manage information, including recording, filing, transmitting, and retrieving hard copy and electronic information.
  • Compile data and prepare accurate reports and summaries.
  • Serve as a professional, courteous, and responsive point of contact for the District, interacting with the public, vendors, partner agencies, volunteers, and staff in a manner that reflects the District’s values and standards.
  • Answer telephones, provide information to calls, take messages, or transfer calls to the appropriate individual.
  • Coordinate and schedule meetings and events in the training rooms, including preparing logistics as needed.
  • Attend meetings, take notes, and prepare minutes as assigned.
  • Receive, sort, and distribute mail and packages.
  • Purchase office supplies, break room supplies, and employee uniforms and maintain inventories.
  • Operate a variety of general office equipment including computers, telephone, scanner, copier, fax machine, and printers.
  • Take and transcribe notes accurately.
  • Apply District policies, practices, and procedures with good judgment, providing information and explaining policies, practices, and protocols when assisting customers.
  • Work independently with minimum supervision.
  • Make routine administrative and procedural decisions within established District policies.
  • Prioritize work, adapt to changing needs, and learn and apply new skills to support the District’s mission and vision.
  • Understand and support the culture of Carbondale Fire.
  • May be required to drive in the performance of duties as assigned.
  • Perform other duties as assigned.
