About The Position

The Administrative Assistant plays a key role in supporting our Business Development and Sales Administration teams by ensuring efficient contract processing, maintaining high-quality data in Salesforce, and enabling seamless day-to-day operations. This is a high-impact position that directly supports revenue-generating teams and offers exposure to commercial operations within a fast-growing global organization. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, collaborative environment.

Requirements

  • Associate's or Bachelor's degree preferred, or equivalent relevant experience.
  • 2–4 years of administrative experience, preferably supporting sales, business development, or contract operations.
  • Strong organizational skills with exceptional attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong written and verbal communication skills

Nice To Haves

  • Experience working with Salesforce or other CRM systems preferred

Responsibilities

  • Assist with preparation, processing, and management of client contracts.
  • Manage the contract signature process, including tracking status, follow-up, and final document collection.
  • Maintain accurate and up-to-date contract records and documentation in Salesforce.
  • Support Business Development activities including client orders, quotations, and follow-up tasks.
  • Perform data quality checks and validation to ensure accuracy of quotations and client records.
  • Support CRM data cleanup and maintenance initiatives across Salesforce and related systems.
  • Manage office supply inventory, ordering, and vendor coordination.
  • Coordinate logistics for company events, meetings, and team activities.
  • Serve as a professional point of contact for client communications via phone and email.
  • Ensure timely responses to inquiries and route requests to appropriate team members.
