About The Position

The YMCA of Greater Birmingham is looking for an Administrative Assistant to be a steady, reliable presence at the branch level, helping leadership operate efficiently while serving our staff, members, and community. The Administrative Assistant provides high-level clerical and administrative support to the branch leadership team. This role ensures efficient office operations, accurate record-keeping, professional communication, and excellent customer service. The Administrative Assistant works independently under general direction, handling sensitive information with discretion and serving as an essential point of support for staff, members, and volunteers.

Requirements

  • High school diploma or equivalent required; some college preferred.
  • 1–3 years of office or administrative experience.
  • Proficiency with Google Drive.
  • Strong written, verbal, and interpersonal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to maintain confidentiality and professionalism at all times.
  • Valid driver’s license and reliable transportation.
  • Basic knowledge of accounting, scheduling, and data entry processes.
  • Ability to interpret and follow written and verbal instructions.

Responsibilities

  • Support the YMCA mission by demonstrating and promoting the Y’s values in all aspects of the role.
  • Provide clerical and administrative support for branch leadership and staff, including new hire paperwork and volunteer vetting.
  • Process records, reports, and information accurately and on time.
  • Manage selected monetary transactions in accordance with YMCA policies.
  • Prepare board correspondence, meeting packets, notices, and minutes.
  • Coordinate schedules and maintain communication across departments.
  • Respond promptly and professionally to inquiries and concerns.
  • Monitor and order office supplies to maintain efficient operations.
  • Assist with fundraising efforts, events, and campaigns as needed.
  • Supervise and support volunteers or part-time staff as assigned.
  • Maintain confidentiality of sensitive information.
  • Perform additional duties as assigned by the Executive Director.
