Administrative Assistant East OB/GYN Galen Medical Group offers several medical specialties throughout the Chattanooga region. Galen is CHATTANOOGA'S Doctor! Summary/Objective: The Administrative Assistant provides administrative, clerical, and billing-related support for the office and reports to the Site Manager. This role supports daily office operations, assists with billing processes, and helps ensure accurate documentation and recordkeeping. Essential Functions: Provide administrative, clerical, and interpersonal support to the office and assigned departments, including handling confidential information with professionalism and discretion. Support billing and revenue processes by assisting with newborn circumcision billing, adding newborn patients to the patient management system, obtaining face sheets and insurance information from systems, and gathering documentation for delivery and surgical billing. Review billing-related reports and records, including vaccination reports, order histories for IUD and Nexplanon procedures, monthly collections reports, missing ticket reports, and unapplied payment reports to ensure accuracy and completeness. Perform general administrative and secretarial duties such as preparing correspondence, ordering supplies, coordinating meals and office needs, running errands, and supporting day-to-day office operations. Sort, classify, enter, maintain, and update electronic and physical records, files, certificates, and documentation in a timely and accurate manner. Draft, edit, revise, and prepare letters, reports, tables, and other materials using standard office software and systems. Arrange meetings, schedule appointments and interviews, provide calendar support, and coordinate travel and lodging arrangements as needed. Perform additional duties and special projects as assigned. Other Duties/Responsibilities: May instruct and oversee the activities of student employees performing the same type of work. Performs miscellaneous job-related duties as assigned. Knowledge/Skills/Abilities: Strong administrative skills, including records maintenance, data entry, word processing, scheduling, and proficiency with standard office equipment and technology. Effective verbal and written communication skills, with the ability to create, edit, and manage professional written materials. Strong organizational and time-management skills, with the ability to manage multiple priorities, follow detailed instructions, and complete assignments accurately and on time. Ability to work independently with sound judgment, attention to detail, adaptability, and a positive, professional attitude Ability to handle sensitive or difficult situations involving patients, physicians, or staff in a professional and respectful manner. Demonstrated professionalism, including punctuality, adherence to identification and workplace expectations, and positive representation of the organization. Requirements

  • High School diploma or equivalent.
  • Strong administrative skills, including records maintenance, data entry, word processing, scheduling, and proficiency with standard office equipment and technology.

Nice To Haves

  • Medical terminology preferred but not required.
  • 2+ years experience in an Administrative Assistants role, preferred
  • Experience with Microsoft Office Software.
