We are excited to add an Administrative Assistant to our team! If you’re detail-oriented, organized, and love building relationships you’ll fit right in with our friendly crew. Your days will be filled with supporting the owner, assisting clients, and contributing to an office culture that’s positive, supportive, and never boring.

Requirements

  • High School Diploma
  • 3+ years’ experience in an administrative role
  • Demonstrates strong proficiency and confidence working across various platforms and operating systems including Mac operating system and Calendly
  • Excellent communication; written and verbal
  • Collaborative team player willing to assist others
  • Demonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasks
  • Exhibits meticulous attention to detail and a commitment to accuracy
  • Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
  • Self-starter who takes initiative and works well independently
  • Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matter

Responsibilities

  • Answer phones and greet clients in a friendly, positive, and warm manner
  • Be the first point of contact for prospects and clients
  • Support the firm with day-to-day administrative duties
  • Schedule and conduct introductory Zoom calls to engage and assess the interest of prospective clients
  • Strategically coordinate meetings, appointments, and engagements
  • Ensure advisors are prepared for client meetings by proactively mailing materials out
  • Deliver a seamless onboarding experience for new clients, ensuring personalized attention and exceptional service at every step
  • Build and improve upon client relationships
  • Maintain the firm’s CRM system (Wealthbox) through accurate data entry and database management
  • Maintain office filing system, both paper and electronic
  • Other industry-specific tasks as needed
