The Administrative Assistant for Viaero Wireless Technologies helps with a variety of administrative, planning, and logistical tasks. This is an onsite position located in Fort Morgan, Colorado.
Secure training and meeting venues, book catering, and assist guests with travel/lodging needs.
Coordinate with different teams for planning meals and making hotel arrangements.
Assist with meetings, working collaboratively with meeting leaders to create and distribute overview agendas and reports.
Handle all incoming/outgoing deliveries, mail, faxes, and correspondence.
Maintain supplies inventory by anticipating needed supplies, placing and expediting orders, and verifying receipt of supplies.
Quickly make/modify travel arrangements with a high level of accuracy and serve as a liaison between traveling employees and staff based in the home office.
Maximize inventory of business cards and keys to physical facilities and office workspaces.
Working with janitorial staff to keep supplies on hand needed for janitorial needs.
Facilitate communication with Janitorial staff for changes in schedules and tasks needing attention
Work on a wide range of project complexity, prioritizing to meet multiple deadlines in a fast-paced environment.
Assist with other duties, as assigned.
High School Diploma or GED required. Associate’s degree or higher strongly preferred.
A minimum of 2 years’ administrative/office support experience required. 3+ years preferred.
Sensitivity to confidential matters and ability to frequently exercise diplomacy and discretion is required.
Excellent communication skills and exemplary professionalism including phone etiquette, manners, appearance, attitude and integrity.
Ability to work well with all levels of internal management and staff, outside clients and vendors.
Strong computer and internet research skills required. Must be proficient with Microsoft Office.
Demonstrated focus on accuracy and high attention to detail.
Strong organizational skills and ability to accomplish multiple tasks within the agreed upon time frames.
Able to work both independently to complete tasks as well as to collaborate with others to utilize resources and identify effective solutions.
Ability to complete assigned tasks with minimal to no supervision.
Must be at least 21 years old, have a valid driver's license, and the ability to pass all pre-employment processes, which include a criminal background check, MVR check, and drug testing that follows federal guidelines.
Previous experience with menu and meal planning for groups is preferred.
