About The Position

Current recruitment is for our Library Department. Under general direction, the Administrative Assistant performs highly skilled administrative, technical, clerical, and special project work for various department directors and department management.

Requirements

  • Bachelor's Degree in Public Administration, Business Administration, Finance, or a related field.
  • One (1) year of experience in an administrative support/mid-management position, preferably within the department to which assigned.
  • A valid State driver's license.

Responsibilities

  • Provides extensive administrative, technical, and clerical support for a large and complex operating department within the city; serves as technical advisor to the departmental management and represents the department in cooperative efforts with governmental entities and other operating units of the city.
  • Gathers and evaluates data relating to the departmental operations and functionality; develops, implements, and maintains reporting and monitoring systems to ensure accuracy and efficiency.
  • Reviews, evaluates, and presents data relating to operations and improvements to existing procedures and equipment; examines organizational problems concerning policy, personnel, enhancement of equipment capabilities, and other factors.
  • Responds to and handles complaints on behalf of departmental management and may be assigned to conduct field reviews, gather information, and make findings.
  • Assists, supports, and facilitates the coordination of all budgetary and financial systems within the various departments; develops and implements management, processing, and administrative systems.
  • Directs, supports, oversees, and executes special projects as assigned; makes inquiries and conducts surveys of departmental operations, practices, techniques, and problems; identifies areas of concern, addresses issues, and makes recommendations for changes and updates.
  • Works closely with divisions and other departments in maintaining the support systems and providing information regarding departmental operations.
  • Based on area of assignment, may administer department safety, travel, and training programs.
  • Based on area of assignment, may support, train and supervise staff; coordinate duties and tasks, complete performance evaluations, and oversee general work quality and assignments; assist with payroll and personnel communications and processing.
  • Performs other duties as assigned.
