We are looking for a proactive and detail-oriented Administrative Assistant to join our Operations team. This role provides essential support to the Finance, HR & Admin team, ensuring smooth daily operations in a dynamic startup environment. The ideal candidate is highly organized, adaptable, and adept at managing multiple priorities.

  • Manage office supplies inventory and ordering, ensuring availability and cost efficiency.
  • Assist the Office Manager in maintaining a safe, clean, and productive workplace environment.
  • Assist the Office Manager in coordinating vendor and facility management, including repairs, services, and general office maintenance.
  • Assist other office and operations managers with facility management duties.
  • Serve as a reliable point of contact for contractors, ensuring effective communication and coordination.
  • Support departmental spending, manage accounts payable inquiries, and facilitate approvals with the Finance team.
  • Assist record-keeping, document and data organization, and expense tracking.
  • Assist with the planning, coordination, and documentation of employee business travel.
  • Assist with orientations and work-place training.
  • Assist with other general tasks & duties related to the Company's events and goals.
  • Collect vendor and contractor invoices.
  • Facilitate invoice payments with the Finance team, ensuring compliance with internal policies.
  • 1–3 years of experience in administrative, office management, or operations support
  • High School Diploma, or higher
  • Must be able to organize documents and information intuitively and comprehensively.
  • Must be able prioritize responsibilities efficiently.
  • Must be able to work efficiently on a computer, and familiar with other office technologies such as operating or troubleshooting a printer, scanner, and internet.
  • Proficiency in Microsoft Office/Google Workspace; familiarity with expense/AP systems is an advantage.
  • Ability to work both independently and as a collaborative team member.
  • Excellent written and verbal communication skills.
  • Exceptional time management skills; must be able to oversee dozens of processes and projects simultaneously and meet tight deadlines, often with quick turnaround.
  • Korean and/or Japanese language proficiency (conversational minimum) is preferred, but not mandatory
  • First Aid/CPR certification is preferred, but not mandatory
  • Exposure to both Finance and General Affairs functions within a fast-paced startup environment.
