About The Position

The Administrative Assistant for the Office of Building & Renovations at the Diocese of Lafayette plays a crucial role in supporting the efficient operation of the office. This position involves a variety of administrative tasks, including document preparation, research, and communication with various stakeholders. The assistant is expected to maintain confidentiality and contribute to the goals of the Diocese while adhering to established policies and procedures.

Requirements

  • High School diploma or equivalent required; higher education and/or certification preferred.
  • Three (3) to five (5) years related work experience; experience in a legal office preferred.
  • Intermediate knowledge of Microsoft Office programs.
  • Ability to communicate clearly and interact professionally with various stakeholders.
  • Ability to compose and write in proper format, punctuation, spelling, and grammar.
  • Maintain absolute confidentiality.
  • Self-motivated and capable of working independently.
  • Good organization skills and ability to multi-task.

Nice To Haves

  • Notarial Commission (Louisiana) preferred.

Responsibilities

  • Administer the collection of documentation for building checklist requirements and corporate resolutions.
  • Research, analyze, and review documents related to corporate matters and property transactions.
  • Create letters granting permission and approval for administrative acts.
  • Review, update, and file corporate articles and documents with the Secretary of State.
  • Prepare notices, attend, record, and prepare minutes for annual meetings.
  • Assist parishes and schools with inquiries related to property issues and diocesan policies.
  • Compose, prepare, and distribute correspondence and reports independently.
  • Coordinate scheduling and preparation for office-related appointments and meetings.
  • Attend to daily office operations, including opening and closing procedures.
  • Serve as Recording Secretary to the Diocesan Building Review Board.
  • Generate and maintain routine communications and reports.
  • Maintain an accurate and efficient filing system.
  • Perform other duties as necessary.
