About The Position

The Administrative Assistant plays a crucial role in managing patient visits within the cardiovascular clinic at Cooperman Barnabas Medical Center. This position involves greeting patients, assisting with forms, scheduling appointments, and supporting the clinical team in various administrative and patient care tasks. The role is essential for ensuring a positive experience for patients and efficient operation of the clinic.

Requirements

• High School Diploma or General Education Degree (GED)
• One (1) Year of Healthcare Experience
• Successful completion of all orientation programs

Responsibilities

• Manage patient visits within the clinic by greeting patients, coworkers, providers, and vendors.
• Assist in the cardiovascular clinic with cardiac surgery, structural heart, advanced heart failure, and other aspects of cardiovascular service line patients.
• Answer phones and schedule patients for appointments and testing with a positive attitude.
• Assist patients and family members with forms and collection of insurance cards and picture ID to scan into EMR.
• Lead and escort patients to examination rooms and other appointments in the hospital.
• Call to confirm appointments and review patient demographics and insurance.
• Track clinical inventory and supplies as needed.
• Prepare patients for necessary tests and assist with scheduling of tests/procedures and preop testing.
• Triage telephone calls and take messages clearly for appropriate team members.
• Prepare and send physician notes, results, and other tests as directed by the clinical team.
• Assist team members with filing, organization of the department, and ordering of office supplies.
• Assist with Advance Heart Failure clinic scheduling and obtaining authorization as needed.
