About The Position

Metro Community Health Center is seeking an Administrative Assistant who will provide essential administrative support to the CEO, CMO, COO, CFO, and other staff as needed. The ideal candidate must possess excellent communication and organizational skills, be able to interface professionally with clientele, staff members, and community partners, and demonstrate the ability to prioritize and manage time effectively. The role requires critical thinking skills and a desire to work closely with homeless and underserved populations. Experience in data entry and proficiency in MS Word, Excel, and Access is required. Knowledge of community resources is also helpful.

Requirements

  • High School Diploma or GED.
  • One year of administrative assistant experience or equivalent combination of experience and training.
  • Ability to type a minimum of 50 words per minute.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Ability to function well in a high-paced and sometimes stressful environment.
  • Excellent oral and written communication skills.
  • Ability to handle multiple projects and prioritize tasks.

Responsibilities

  • Provide administrative support to the executive team and other staff as needed.
  • Work effectively with external vendors.
  • Ensure compliance with HIPAA regulations.
  • Produce information and reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Read, research, and route executive correspondences.
  • Draft letters and documents for internal and external audiences.
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Perform typing tasks including transcription of Board meeting minutes and reports.
  • Assemble and distribute materials for Board meetings each month.
  • Call Board of Directors and committee members to determine attendance for meetings.
  • Assist in the revision of policies, records, and forms.
  • Maintain administrative files and supplies inventory.
  • Prepare invoices and reports to funding agencies as needed.
  • Greet clients, patients, and visitors, providing solutions to customer problems.
  • Handle sensitive information in a confidential manner.
