In this role, the Administrative Assistant will coordinate event logistics, which involves confirming speakers, managing attendance, making reservations, and arranging catering services. Additionally, the assistant will track program metrics and generate reports based on these metrics. The position also entails preparing and recording invoices, requisitions, and expense reports, as well as assisting the director in regular budget reviews. The assistant will provide support for virtual programs by creating and updating meeting links, managing breakout rooms, and tracking attendees. The Administrative Assistant will ensure that operational practices are accurate and consistent by adhering to the Laspa Center's operations manual and making updates as necessary. This role also includes supporting grant and program applications, coordinating transportation and lodging, tracking documents, and following up with student participants post-program or grant. Other responsibilities include managing incoming calls, coordinating meetings and appointments, maintaining internal and external calendars, and updating the center's website. The assistant will also manage a constituency database for outreach efforts and relationship management, maintain online resources, and troubleshoot user account issues. Overall, this position is integral to the smooth operation of the Laspa Center and requires a commitment to the college's principles of community and diversity.
