The Opportunity TC Energy is seeking an experienced Administrative Assistant to support the Vice President - USNG Natural Gas (USNG) Pipelines Law. The successful candidate will be responsible for complex and confidential administrative assignments requiring a high level of professionalism, sense of urgency, and strong attention to detail. The Assistant will have interaction with internal and external stakeholders, external agencies, the public, and external service providers, and must demonstrate a collaborative approach. Applicants interested in this opportunity must be comfortable working in a deadline-driven environment with constantly changing priorities.

Requirements

  • A minimum of ten (10+) years of related work experience with increasing levels of responsibility with experience at the executive Administrative level
  • High school diploma or post-secondary certification in administration from a recognized institution
  • Experience supporting senior executives in a fast paced, dynamic environment
  • High degree of professionalism, excellent communication skills, and the ability to maintain confidentiality
  • Understand business priorities and proactively anticipate needs
  • Sound judgment and the ability to work independently with little direction
  • Proven organizational, planning, prioritization, scheduling and time management skills
  • Ability to work and communicate comfortably and effectively at all levels of the organization
  • Possess tact and diplomacy while working positively with others
  • Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
  • Expert in the use of MS Office (PowerPoint, Excel and Word)
  • Ability to represent TC Energy effectively to external parties
  • Proven interpersonal skills
  • Excellent written, proof reading and editing skills
  • Proactive, takes initiative, and is creative at identifying process improvement opportunities

Responsibilities

  • Manage a heavy calendar, book appointments, make business travel arrangements and coordinate priorities and meetings for the Vice President - USNG Natural Gas Pipelines Law
  • Act as a liaison between the Vice President - USNG Natural Gas Pipelines Law and other Senior Executives and their Assistants
  • Develop relationships and work collaboratively on tasks and deliverables with leaders and administrative staff in Canada, Mexico and the U.S.
  • Manage information, reports, electronic and hard copy files, contacts and databases
  • Prepare, format, and coordinate reports and presentations using PowerPoint, internal databases, and external resources for internal and external audiences
  • Provide administrative support for the legal department, including scheduling meetings and appointments, training, travel arrangements, ordering supplies, time sheets and preparing expense reports
  • Coordinate daily office administrative duties (mail, deliveries, filing, etc.) and plan and organize events as required for the legal department
  • Assist in the management of routine workflows and various processes for the legal department, including organization and position management (utilizing workforce, SAP and department software suites for requests and information management), department moves and office planning, and the onboarding and offboarding of team members
  • Track and follow up on action items, invitations, correspondence and documents for signature
  • Review, develop and implement departmental administrative processes and training on systems (including where applicable for new and less experienced assistants)
  • Handle highly sensitive and confidential information and issues in an appropriate and professional manner
  • Other tasks as required
