About The Position

The Administrative Assistant to the Superintendent plays a crucial role in providing high-level secretarial and administrative support to the Superintendent of Schools. Requirements

  • High school diploma or GED required.
  • Associate's degree preferred, with courses in typing, word processing, and office practices.
  • Extensive progressively responsible secretarial experience, including experience as an Administrative Secretary.
  • Comprehensive knowledge of educational business office administrative support functions and modern office terminology.
  • Ability to manage clerical and administrative support activities in a large school setting.

Responsibilities

  • Plans clerical work of the Superintendent's office and distributes tasks to other secretaries as needed.
  • Monitors and modifies office procedures and organizes office projects and processes.
  • Keeps the Superintendent informed of deadlines and pending items, assembling necessary background material.
  • Screens telephone calls and visitors, referring inquiries to appropriate offices when necessary.
  • Maintains the Superintendent's calendar and schedules appointments and conferences without prior clearance.
  • Prepares replies to general requests and routine letters for the Superintendent's signature.
  • Reviews outgoing correspondence for format, spelling, punctuation, and grammar before submission for signature.
  • Reviews incoming mail for action and retrieves appropriate background information for correspondence.
  • Collects data and prepares dockets and packets for School Board meetings.
  • Handles travel arrangements for the Superintendent.
  • Completes follow-up tasks regarding School Board decisions and administration action items.
  • Organizes and maintains filing systems according to standard procedures.

Benefits

  • Salary range of $60,000 - $65,000 based on experience.
