About The Position

Quinnipiac University invites applications for the position of Administrative Assistant to the Dean for the School of Business. This position will provide administrative support to Dean and the office of the Dean in the School of Business, including clerical duties, communication and planning, and staff and student assistance. Requirements

  • High School Diploma or GED required
  • Demonstrated experience providing high‑level administrative support in a complex, fast‑paced office environment.
  • Strong organizational and time‑management skills, with the ability to manage executive calendars, coordinate meetings, and prioritize multiple deadlines with accuracy.
  • Proven ability to handle confidential and sensitive information with discretion, sound judgment, and strict adherence to institutional privacy policies.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and comfort using university systems, cloud‑based storage, and procurement platforms.
  • Excellent written communication skills, including proofreading, editing, and preparing professional correspondence, reports, presentations, and promotional materials.
  • Experience managing budgets, processing expenditures, handling travel reimbursements, and working with vendor registration and purchase orders.
  • Strong data‑management skills, including maintaining digital records, tracking information in Excel, and supporting document‑retention and accreditation requirements.
  • Ability to coordinate events and meetings, including logistics, catering, facilities, AV support, travel arrangements, and on‑site oversight.
  • Professional, welcoming demeanor with the ability to interact effectively with students, faculty, staff, external partners, and advisory council members.
  • Flexibility to support occasional evening or weekend events.
  • Commitment to excellence, accuracy, and high‑quality service in all administrative functions.
  • Proven ability to collaborate effectively with individuals from varied backgrounds.

Responsibilities

  • Maintain professional, welcoming, and efficient operations of the Dean’s Office with high standards of excellence.
  • Manage the dean’s schedule, including scheduling meetings and appointments and reviewing incoming confidential mail for appropriate distribution and action.
  • Maintain the School of Business Academic calendar using University software.
  • Maintain electronic school-wide calendars for faculty, staff, and students.
  • Collaborate in managing professional communications including phone calls, incoming mail/email, correspondence, memos, minutes, newsletters, reports, grants, forms, etc.
  • Manage correspondence for the dean’s external relations email account and maintain correspondence records and contact database.
  • Proofread and edit work for accuracy, format, punctuation, and construction. Assure timely completion of all material.
  • Safeguards confidential and sensitive information—including employee, student, financial, and strategic data—by adhering to institutional confidentiality policies, data privacy regulations, and best practices for secure information handling. Immediately reports any suspected breaches or risks.
  • Maintain records on expenditures, travel, and budgets for the School of Business using university software.
  • Register vendors and set up purchase orders for vendor payments. Process requisitions and payments.
  • Use University systems and procurement processes fully and effectively to process student travel and expenses paid for by the School of Business, requisitions, and expense reports, grant accounts, and budget.
  • Assist faculty with all reimbursements (travel, supplies, etc.).
  • Use the University’s cloud computing storage system, organize and maintain data and documents so they are readily accessible; ensure protocols for document retention are implemented, including all materials and records required for School of Business accreditation.
  • Utilize Microsoft Excel to track, summarize and graphically report data.
  • Assist in the development of presentation and promotional material to support the School of Business programs, including background research, and utilize PowerPoint to create and update presentation material.
  • Arrange Advisory Council meetings. Duties include planning and managing invitations, catering, facilities, and event set up, AV equipment, budgets, travel, and other support functions. Coordinating with participants and arranging for necessary materials and facilities. Occasional weekend and evening coverage may be required for special events.
  • Process and track contracts & agreement submissions, and all School of Business external agreements.
  • Other clerical duties as assigned.
