Requirements

  • Education level equivalent to High School Diploma required; collegiate or vocational training preferred.
  • Excellent computer skills required, including advanced knowledge of Microsoft Excel, Word, and Outlook.
  • Two years of Administrative or office assistant/secretarial experience required.
  • At least two years working knowledge of Long-term care environment and Staff Scheduling preferred.

Responsibilities

  • Provide advanced administrative, confidential, and technical support to the Director of Nursing.
  • Serve as the first point of contact to the Director of Nursing.
  • Maintain and administer staff scheduling and assist with filling staffing vacancies.
  • Receive and prepare outgoing mail, prepare correspondence, and schedule appointments.
  • Take minutes for meetings and screen/respond to calls on behalf of the Director.
  • Assist Care Center Supervisory Staff in tracking licensure, certification, annual training, and competency assessments.
  • Maintain spreadsheets/databases for the Department in accordance with guidelines and policies.
  • Oversee staffing needs and coordinate and schedule staff.
  • Minimize avoidable premium pay through effective scheduling and timekeeping.
  • Review and track requests for vacation and time-off.
  • Respond to scheduling conflicts, emergencies, and call outs.
  • Notify management of attendance-related concerns.
  • Facilitate recruitment and retention of direct hires.
  • Assist with processing payroll and verifying employee hours and shifts worked.
  • Greet residents, families, visitors, contractors, students, and employees.
  • Monitor staff compliance with mandatory in-services and certifications.
  • Establish and maintain cooperative working relationships with other employees.
  • Maintain office files, employee files, and other appropriate records.
  • Maintain inventory of office and clinical supplies.
  • Perform general clerical duties including organizing, filing, shredding, and photocopying documents.
  • Compose written correspondence and materials; create and update departmental forms.
  • Answer phones, respond to messages, and manage incoming and outgoing mail.
  • Initiate, process, and track departmental forms such as purchase orders and travel authorization forms.
  • Schedule appointments, meetings, and arrange for catering services.
  • Perform assigned responsibilities according to established practices and standards.
