About The Position

The Administrative Assistant position at the Tribal Employment Rights Office (TERO) involves a variety of administrative and clerical tasks aimed at supporting the office's operations. The incumbent will be responsible for ensuring that office procedures are implemented and maintained in a professional and efficient manner. Key duties include preparing and monitoring budgets, assembling documents for reports, and maintaining strict confidentiality of program information. The role also requires maintaining a computerized TERO management information system, answering phones, and providing assistance to clients with applications and employment. Work assignments must be organized, prioritized, and completed in a timely manner, along with maintaining file management and updates as needed.

Requirements

  • Three (3) progressively responsible years as an OA-V.
  • Successful completion of a certified secretarial training program or college level education.
  • 2 years of work-related experience in a similar position, or a combination of education and experience demonstrating the knowledge and ability to perform the work listed.
  • Ability to obtain a Notary Public Certification after selection/hire.
  • Must pass a pre-employment background check.
  • Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
  • Required to pass a pre-employment drug test.

Responsibilities

  • Provide assistance to new or current TERO clients in completing applications and explaining program goals and requirements.
  • Provide information to the general public regarding job openings.
  • Answer phones, provide information, and take messages or direct calls to appropriate staff.
  • Organize office operations and procedures to accomplish assignments of typing, correspondence, mail, and file management.
  • Maintain a log to record incoming mail and distribute as directed.
  • Maintain electronic client data and ensure applications are current for job referral.
  • Assist in preparing purchase orders, travel authorizations, process payments, and close outs.
  • Maintain accurate bookkeeping duties and accounts.
  • Review incoming correspondence, memorandums, and reports to highlight points of interest and indicate deadlines or required responses.
  • Assemble data and type statistical reports, assist in preparing EEOC quarterly reports.
  • Assist in setting up training for clients, making arrangements for conference rooms and equipment, and sending public notifications.
  • Record completion of CDL, certificates, and/or certification cards for clients for proper job referrals.
  • Assist in maintaining files by ensuring all information and forms are updated before providing to contractors and subcontractors.
  • Utilize office equipment such as telephone, fax, copier, computer, scanner, typewriter, and calculator in daily work.
  • Monitor and assist in supervising temporary staff, volunteers, or summer youth as delegated by the supervisor.
  • Perform other duties as assigned.
