About The Position

This important position will support the VP/Chief Sustainability and Social Impact officer and two senior directors. In this role, you will be a critical team member and will perform a wide variety of specialized and administrative functions. You must possess strong organizational and communication skills and demonstrate a proven track record of getting results. This role will report directly to VP/Chief Sustainability and Social Impact officer. As a key member of the Sustainability and Social Impact team, the Administrative Assistant will embody and promote our commitment to inclusion and service. Requirements

  • 5+ years in executive support, office management, or similar roles.
  • Experience with travel coordination and expense processing.
  • Strong multitasking, communication, and project management skills.
  • Proficient in Microsoft Office and virtual meeting tools (e.g., Teams, WebEx).
  • Polished, professional, proactive, and detail-oriented.
  • Strong communication, project management, and critical thinking skills.
  • Reliable, results-oriented, and able to anticipate needs.
  • Comfortable working in a fast-paced environment.
  • Comfortable working with senior leadership and managing confidential information.

Responsibilities

  • Provide extensive calendar management for Vice President and both Senior Directors.
  • Oversee monthly and weekly meetings, managing event logistics, agenda creation when needed, attendee experience, and communication.
  • Coordinate VP travel (domestic and international) arrangements and logistics including itinerary building and expense report processing.
  • Act as primary liaison between Vice President, Senior Directors, other departments and suppliers; ensuring effective communication of messages, priorities and directives.
  • Process invoices and vendor contracts in a timely manner, including issue tracking and resolution.
  • Support department-wide communications through emails, Poppulo, Teams messaging, and webcast support.
  • Maintain distribution lists and facilitate information sharing.
