The Nursing Office Administrative Assistant provides administrative and secretarial support, including scheduling and coordination of meetings, seminars, and travel. This role involves performing independent and collaborative projects as needed, as well as clerical and reception duties that support the functioning of the Operating Room. The assistant is responsible for typing and proofing a variety of materials such as correspondence, memos, reports, charts, and grants. They will also edit, copy, and disseminate these materials appropriately. The position requires answering the telephone, screening calls, taking messages, and assisting callers within the scope of authority. The assistant maintains Nursing Policies and Procedures, ensuring they are in the correct format for committees and routed for approvals. They will work collaboratively with the Chair of the Nursing Operations Council and maintain Nursing Administration records and files. The role includes ensuring the accuracy of Daily (DSR) and bi-weekly Kronos for assigned cost centers, coordinating schedules, arranging meetings and appointments for the Chief Nursing Officer, and providing research and administrative support to special projects. Additionally, the assistant is responsible for coordinating travel arrangements, maintaining the security of sensitive information, processing inquiries from patients and the public, taking minutes of meetings, and performing other duties as assigned.
