About The Position

The Administrative Assistant for Student Affairs at Touro University is responsible for providing comprehensive administrative support to the Assistant Dean and the Student Affairs team. This role involves a variety of tasks including managing communications, maintaining student files, and supporting departmental operations to enhance the student experience.

Requirements

  • Bachelor's Degree or equivalent experience.
  • Strong interpersonal skills.
  • Well organized and able to prioritize tasks.
  • Proficient knowledge of Microsoft Office.

Responsibilities

  • Provide support to the Assistant Dean of Student Affairs and Student Affairs team members.
  • Type memos, letters, and general correspondence.
  • Enter and update information into the system and create reports.
  • Create files and follow up with any missing documents.
  • Maintain forms required by New York State.
  • Respond to phone calls from prospective students and answer questions; forward certain calls to appropriate advisors.
  • Meet and greet all visitors.
  • Process online documents.
  • Interact with different departments and upper-level personnel.
  • Maintain a master list and student files for Student Affairs.
  • Process student requests including excused absence and conference requests.
  • Manage calendar and set up appointments; create weekly events activity.
  • Update student communication board.
  • Provide general administrative support.
  • Post and type flyer announcements.
  • Act as an advisor and participate in meetings.
  • Serve as a liaison between the Dean and students.
  • Prepare requisitions for the department and follow up on difficulties.
  • Order supplies and keep track of all orders by the department.
  • Issue student ID badges and prepare for lost badges.
  • Maintain relationships with vendors and contracts.
  • Provide event management support.
  • Handle financial and purchasing responsibilities for the department, including travel reimbursements and check approvals.
  • Assist with maintaining student files.
  • Perform other duties as assigned.
